Privacy Policy

GameLedger is operated by Windmill Events & Planning LLC. This policy explains how we handle information when you use our live social-game recordkeeping service.

Information we collect

We process account identity information supplied by your sign-in provider, including your name, email address, provider identifier, and authentication metadata. Club administrators enter club and player names, optional player phone numbers, club logos, locations, game records, scores, buy-ins, cash-outs, expenses, adjustments, and settlement status.

On iOS, when an administrator chooses “Select from Contacts,” GameLedger opens the device’s contact picker. Only the contact the administrator selects is used to prefill a player’s first name, last name, and phone number for review. GameLedger does not upload the full address book or store the device contact identifier. Contact access is optional; player details can always be entered manually. The Android and web versions use manual player entry and do not access device contacts.

If you purchase GameLedger Pro, Apple or Google provides product, transaction, subscription-status, expiration, refund, and account-binding identifiers. GameLedger does not receive your payment-card or bank-account details.

If you connect Splitwise, we process the identifiers and authorization credentials needed to select a group and export an organizer-reviewed settlement. GameLedger does not transfer money.

How we use information

We use information to authenticate users, operate clubs and game ledgers, identify players, calculate informational balances and standings, provide subscriptions, restore purchases, export approved records, secure the service, troubleshoot problems, and comply with legal obligations. Player phone numbers are not used to send automated text messages in the current version. We do not sell personal information or use it for third-party advertising or cross-app tracking.

Sharing

Player profile information, including an optional phone number, is visible to the owners and administrators of each club that uses that shared player profile. Club members see their own results and the club leaderboard, not other players' buy-ins, cash-outs or results. Phone numbers are not included in public live-score links. A club administrator may create a revocable read-only live-score link; anyone with that link can view only its limited scoreboard data. We use service providers such as Google Cloud, Firebase Authentication, Expo, Google Play, Apple, and—only when connected—Splitwise to provide the service. Those providers process information under their own terms and our configuration.

Performance Insights is optional. If you turn on its written performance review, GameLedger sends figures calculated from your own Poker results, such as totals, averages and patterns, to OpenAI to write the review. It does not send your name, email address, account identifiers, club names, or other players' information. Under OpenAI's API terms, this data is not used to train OpenAI's models. You can turn the written review off in Account at any time; your figures still show without it.

Retention and deletion

An account deletion request immediately disables the account. Permanent deletion begins after 45 days, except where records must be retained for security, legal, tax, billing, dispute, or fraud-prevention purposes.

If the account solely owns a club, that club and its associated records, including player contact information, are included in permanent deletion. If other members belong to an owned club, ownership must be transferred before deletion. Records in a transferred club remain with that club.

Your choices

You may disconnect Splitwise, correct profile information, manage or cancel a subscription through your app-store account, or request account deletion from the GameLedger app. You may also follow the instructions on our account deletion page.

Security and children

We use reasonable administrative and technical safeguards. No system is completely secure. GameLedger is not directed to children under 13.
